Salary Range:

  • $13.00-15.00 per hour (DOE)

  • 12-15 hours per week (with potential for advancement)

Position Summary: The Administrative Assistant assists the CEO with general administrative and office duties. He/she represents Red Arrow Media to potential and current clients, and supports the Senior Editor with writing and editing tasks.

Essential Responsibilities

Administration —

  • Organizes documents, communication, emails and files accordingly

  • Manages office, including finances, to organize, file and pay bills

  • Works with Accounting Firm to maintain a spreadsheet of income and expenses, and keeps budget up to date

  • Runs team errands (printer, post office, lunches, etc.).

  • Works with cleaner to maintain cleanliness efficiency and purchase necessary supplies and/or materials

  • Acts as a “guardian” between team members and client, walk-ins, and phone calls.

  • Receives clients in reception area and provides coffee and/or water.

Customer Care —

  • Manages emails and communication via info@redarrowmedia.com, responding within 2-3 business days to all inquiries

  • Serves as the main liaison between Red Arrow and potential authors, responds to customer query emails and voicemails, and supplies adequate information

  • Accepts and responds to manuscript submission forms within 2-3 business days

  • Coordinates with Senior Editor to assign Manuscript Reviews to a designated freelance writer/editor

  • Delivers Manuscript Reviews to clients upon completion and answers any follow-up questions and/or concerns

  • Passes on email requests for long-term client relationships to the General Manager

  • Assists the Executive Editor with other tasks, as necessary, within the Editorial Department

Product Orders —

  • Manages emails, orders and communication through orders@redarrowmedia.com

  • Responds to client/vendor book order requests, orders books through RA's distributor, or supplies orders through RA’s stock, sends subsequent invoices and communication, and ensures a timely and effective delivery

  • Receives new printing orders from clients and/or RA, retrieves printing quotes from printing agencies, coordinates subsequent printing proposals with the help of the Marketing Director, and upon approval from clients, orders print jobs through printing agencies

Essential Skills

  • Above-average writing and editing skills

  • Extensive experience with Microsoft Office, specifically Word and Excel

  • Excellent verbal and written communication skills

  • Detail-oriented and efficient

  • Efficiency in accounting skills and/or programs

  • Team-player and mature interpersonal skills

  • Engaging and friendly personality
